There's No Best Printer—Only the Right Printer for Your Workload
Ask five businesses what they need from a printer and you'll get five different answers. That's not indecisiveness—it's reality. A law firm printing contracts all day has nothing in common with a merchandising startup pressing custom hoodies, and neither one benefits from the other's equipment.
I've managed printing equipment and supplies for a 120-person creative technology company since 2020—about $80,000 in annual purchasing across eight vendors. Between our headquarters, a satellite design studio, and a small engineering lab, I've bought or evaluated laser MFPs, a 3D DTF garment printer, an inkjet circuit printer, and more traditional inkjet machines than I care to count. I report to both operations and finance, so every purchase gets examined from two directions: does it work, and is it worth it.
In my experience, printing equipment decisions fall into four scenarios. The right purchase depends on which one describes you.
Scenario A: You Print Documents—Mostly Text, Some Color
If your output is invoices, proposals, contracts, and internal reports, you want a laser multifunction printer. My pick for most offices: a Ricoh laser MFP. Not because it's the flashiest choice, but because it's reliable, the consumables are predictable, and the service network actually shows up when you call.
When we standardized on Ricoh MFPs during our 2024 vendor consolidation, we cut print-related support tickets by more than half across three locations. The specifications I've learned to care about: automatic duplexing, scan-to-email, and a service contract with priority replacement. The per-page cost matters more than the sticker price—I've seen total cost of ownership math vary wildly depending on which vendor's marketing sheet you read, so I calculate it myself using actual page counts from our print server.
According to USPS's business mailing standards, a standard letter is at most 6⅛ by 11½ inches. Any half-decent MFP handles that envelope range, but the auto-feeder capacity is what I check first. That's where batch mailings get slow.

If you run a print shop, a small brand, or an events team that gets asked for branded gear, a 3D DTF printer may be the answer. DTF—direct to film—lets you print a design onto transfer film and heat-press it onto fabric. No screens, no weeding, no minimum quantities.
This is where I'm deliberately biased: I like that DTF makes single-unit orders practical. The vendors who took my small orders seriously years ago are the ones I still give large orders to today. A 3D DTF printer has the same small-friendly logic built in—it removes setup costs that used to punish short runs.
Be realistic about the downsides. These machines need ventilation, regular maintenance, and floor space for a heat press. We partnered with a local production shop for our first year instead of buying one outright; when volume grows, the purchase case gets stronger.
Scenario C: You Prototype Electronics Internally
Our engineering team trialed an inkjet circuit printer for PCB prototypes last year. Instead of waiting two weeks for a fab house, they printed conductive traces directly onto substrate. For early-stage sensor boards, that speed was genuinely useful.
Here's the honest part: unless circuit design is a core function, an inkjet circuit printer is hard to justify. It's a rapid iteration tool, not a production tool, and the consumables are not cheap. Looking back, I should have pushed for a month-long trial instead of one week—a week showed capability but not ink-waste patterns or daily maintenance load. But given what I knew at the time, a one-week demo was the realistic ask. Vendors rarely offer month-long trials.
Scenario D: You Print High Volumes of Color Documents
Our marketing coordinator asked about refillable tank systems after reading HP inkjet printer refillable reviews. I read them too—probably too many of them—and I have mixed feelings.
On one hand, the running cost is genuinely low. Refillable tank systems changed inkjet economics: the ink bottles cost a fraction of cartridge replacements, and output quality handles internal presentations and poster mockups with ease. On the other hand, ink tanks demand careful handling. One of our satellite offices had a spill that cost close to $900 in floor repairs. (Should mention: that was a third-party brand, not HP specifically.)
Per FTC guidance—the Green Guides specifically—environmental claims about ink systems need substantiation. Some vendors overstate how "green" their refillable system is, so I track our waste ourselves. The verdict: if you print heavy color documents regularly, a refillable tank inkjet is a smart supplement to a laser MFP, not a replacement.
How to Know Which Scenario You're In
Stop guessing and look at what you printed last month. Pull counts from your print server or honestly estimate:
- Mostly text on plain paper? Scenario A. Get a Ricoh laser MFP with a service contract.
- Apparel or merch revenue? Scenario B. Evaluate a 3D DTF printer or an on-demand partner, depending on volume.
- Frequent PCB prototypes? Scenario C. Test an inkjet circuit printer—but negotiate a longer trial before signing.
- Heavy color documents and mockups? Scenario D. Keep the laser MFP, add a refillable tank inkjet for color-heavy work.
And if you're a small business: don't let anyone pressure you into buying capacity you don't need yet. From my side of the desk, small isn't a problem—it's an earlier stage. The right tool for today, with a clear upgrade path for tomorrow, is always the better purchase.
